ENTROPY FIELD, LLC / LEGAL

Privacy Policy

1. Who we are and scope

Entropy Field, LLC is the controller of personal information collected for website inquiries, business relationships, account administration, and billing. For customer data processed within subscribed services on a customer’s instructions, we act as a processor or service provider under the applicable agreement. Customers remain responsible for their own notices and lawful processing instructions. This policy covers our website and services; third-party websites have separate policies.

2. Information we collect

We collect information you choose to provide, including name, work email, company, message content, account details, support correspondence, and subscription preferences. Service operation may involve API request metadata, timestamps, IP addresses, device or browser details, usage events, error logs, and customer-submitted workflow or market data. Billing information may include billing contact, address, tax information, transaction identifiers, invoice status, and limited payment method metadata. Do not send payment card numbers, credentials, or sensitive personal data in inquiry forms.

3. How the public website works

This public website does not include advertising trackers, analytics scripts, third-party fonts, or tracking cookies. Pricing and preview interactions run in your browser without a site database. Contact and onboarding forms prepare a mailto email draft; their contents reach us only if you send the email through your email provider. Hosting providers may maintain ordinary security and access logs. No newsletter enrollment or subscription is created by opening a draft. Browser clipboard access occurs only when you select Copy draft.

4. Purposes and legal bases

We use information to respond to inquiries, provision and administer services, fulfill orders, process payments, support integrations, investigate errors, protect systems, prevent fraud, satisfy legal obligations, and communicate service changes. Where GDPR applies, our bases are performance of a contract or precontractual steps, legitimate interests in secure operations and business communications, compliance with legal duties, and consent where required. You may object to legitimate-interest processing and withdraw consent without affecting prior lawful processing. We do not use submitted inquiries to train public AI models.

5. Processors and disclosures

We may engage hosting and cloud infrastructure, transactional email, support, security, and payment providers as needed to deliver contracted services, under appropriate confidentiality and processing terms. Stripe is the payment processor for Stripe-enabled subscriptions; card details are collected by Stripe rather than the public website. Stripe also processes certain information under its own privacy policy. AI or model providers may receive task data only when required for a configured service and subject to the applicable agreement; confirm integration-specific providers and data flows during onboarding. A service-specific subprocessor list is available by contacting us before sending production data. We may disclose information to professional advisers, in a business transfer subject to privacy safeguards, or when reasonably necessary to comply with law, defend rights, or address abuse. We do not sell personal information or share it for cross-context behavioral advertising.

6. Security safeguards

Our architecture is designed around encryption in transit and at rest, least-privilege access, separation of credentials, and auditable service operations. Actual service-specific controls and commitments are described during onboarding or in your agreement. We do not claim SOC 2 certification. No method of transmission or storage is perfectly secure. Report suspected security issues to [email protected] without including secrets or unnecessary personal information.

7. Retention and deletion

We retain inquiry and account information only as reasonably necessary for the relationship, support, security, and legal purposes. Service data retention and available exports depend on the plan and agreement. Billing and tax records may be retained for legally required periods. When information is no longer necessary, we delete or deidentify it, subject to backup rotation, legal holds, fraud prevention, and recordkeeping obligations. Request specific retention details or deletion through the contact below.

8. Cookies and similar technologies

The public site does not set cookies or browser storage. Authenticated services or payment flows may use strictly necessary technologies for sessions, security, and billing. Any future nonessential analytics or marketing technologies will be described and, where required, enabled only with consent. Browser settings can restrict cookies, although this may affect authenticated services. We do not sell or share data for advertising, including when a Global Privacy Control signal is enabled.

9. International processing

We are based in the United States. Our providers may process information in the United States or other countries where they operate. Where GDPR or comparable transfer rules apply, transfers requiring a safeguard will be addressed through an appropriate legal mechanism, such as standard contractual clauses, together with applicable supplementary measures. Contact us for the transfer terms applicable to your service before submitting regulated data.

10. GDPR and EEA / UK rights

Where applicable, you may request access, correction, deletion, restriction, portability, or object to processing, and withdraw consent. You may complain to your local supervisory authority. Email us to exercise rights; we may verify identity proportionately and will respond within applicable statutory deadlines, generally one month under GDPR, subject to permitted extensions. If we process data for an enterprise customer, we may direct your request to that customer. We do not use website inquiries for solely automated decisions producing legal or similarly significant effects.

11. California and other U.S. privacy rights

Where applicable, California residents may request to know or access personal information and its categories, correct inaccuracies, delete information subject to exceptions, opt out of sale or sharing, and limit qualifying uses of sensitive personal information. We do not sell or share personal information for behavioral advertising or use sensitive information for purposes requiring a limitation right. We do not discriminate for exercising privacy rights. An authorized agent may submit a request with proof of authority. We verify requests using information reasonably related to the request and respond within applicable deadlines, generally 45 days for CCPA requests with a permitted extension when needed. Other state-law rights and appeal procedures apply where legally required; contact us with an appeal if you disagree with our response.

12. Children and policy changes

Our services are intended for business users aged 18 or older, not children. We do not knowingly collect personal information from children under 13. Contact us if you believe a child has submitted information. We will update the effective date when this policy changes and provide appropriate notice of material changes. Contact the address below with privacy questions or rights requests.
